Creating Custom Fields

The Custom Fields feature in Beam lets you add extra information to your assets easily. It comes in handy when you have new details that are important to an asset’s use and upkeep but have nowhere to store those details. Let's say you've just rolled out new barcodes for your assets. By default, no barcode field exists in your Beam account to store this data. You can use the custom fields feature to create a new field for your barcodes.

In this doc, we will teach you how to create and configure Custom Fields in Beam.

Instructions

1. Click on Configuration in the sidebar of your Beam dashboard.

Bottom left corner of the Beam dashboard showing configuration, help and account name. Configuration is highlighted with an orange box

2. Select Field Management from the configuration options.

Beam dashboard's configuration menu. Options in menu are User Management, Fields Management and Tag Management. Fields Management is highlighted

3. Click  Add Custom Field in the top right corner of the screen.

Top right corner of the fields management view in the Beam Dynamics configuration menu. Add Custom Field Button is highlighted

4. Give your field a descriptive name.

Add Custom Field Modal open on screen. Name field is highlighted

5. (Optional) Give your field a description to make it easier for others to understand what sort of data the field is storing.

Add custom field modal is open. Description field is highlighted and has "A unique identifier for each asset in the inventory" typed out in it

6. Select a Type that is appropriate for the data you will be storing in this field.

Type dropdown on the Add custom field modal is unfurled. Field options are text, date, select, url, contact, phone, email and description

7. Finish setup using the configuration options (see explanation of configuration options below).

Field configuration options in the add custom field modal. First option is field type with drop down. Second option is "Unique Field?" with a toggle switch. Third and final option is "Default Value" with a toggle switch and text field.

Default Value - If set to "Yes", the value provided will be added by default when adding a new asset.

Unique Field -  If set to "Yes", this field will need a unique value that can only be used once. This is useful for Asset Tags/IDs for instance.

8. Click Add to save your new field.

Blue add button highlighted in the bottom right corner of the "Add custom field modal"
